Description:

The Purchase Officer will be responsible for managing the procurement of materials, equipment, and services essential for the day-to-day operations of the engineering company. This role involves sourcing reliable suppliers, negotiating prices, ensuring timely delivery, and maintaining inventory levels to support project requirements.


Key Responsibilities:


1. Procurement Management:

   - Identify and evaluate potential suppliers based on quality, price, and delivery capabilities.

   - Source, select, and negotiate with suppliers to ensure best quality and cost-effective materials.

   - Prepare and process purchase orders in accordance with company policies and project requirements.


2. Supplier Relationship Management:

   - Develop and maintain relationships with existing and new suppliers.

   - Conduct regular assessments and performance evaluations of suppliers.

   - Resolve any supplier issues or discrepancies to ensure uninterrupted supply.


3. Inventory Management:

   - Monitor inventory levels to ensure the availability of materials for ongoing projects.

   - Maintain accurate records of all inventory and procurement transactions.

   - Coordinate with the warehouse team to manage incoming and outgoing inventory.


4. Cost Management:

   - Conduct market research to stay informed of price trends and industry developments.

   - Implement cost-saving initiatives and negotiate favourable terms with suppliers.

   - Track and report on procurement costs and budget adherence.



5. Compliance and Documentation:

   - Ensure that all purchasing activities comply with company policies and legal requirements.

   - Maintain comprehensive documentation for all purchases, including contracts, agreements, and correspondence.

   - Prepare regular reports on procurement activities, supplier performance, and inventory status.


6. Collaboration:

   - Work closely with project managers, engineers, and other departments to understand project needs and timelines.

   - Coordinate with the finance team to ensure timely processing of payments to suppliers.

   - Participate in meetings to discuss project progress, procurement strategies, and potential risks.


Qualifications:


- Bachelor’s degree in Business Administration, Supply Chain Management, Engineering, or a related field.

- Proven experience as a Purchase Officer, Buyer, or in a similar procurement role, preferably in an engineering or manufacturing company.

- Strong knowledge of Quotation analysis, procurement processes, supplier management, and inventory control.

- Excellent negotiation, communication, and interpersonal skills.

- Proficiency in using procurement software and MS Office applications.

- Strong analytical and problem-solving abilities.

- Attention to detail and ability to manage multiple tasks simultaneously.

- Familiarity with industry regulations and compliance standards.
