Job Title: HR and Admin Executive

Department: Human Resources / Administration

Reports To: Sr Executive HR & Admin


Job Summary:

The HR and Admin Executive will manage a wide range of human resources and administrative functions, including recruitment, employee attendance management, and general office administration. The role requires a detail-oriented, organized, and proactive individual who can efficiently handle multiple tasks while ensuring smooth day-to-day operations.

Key Responsibilities:

 HR Functions:

1. Recruitment & Staffing:

    Assist in the end-to-end recruitment process: job postings, screening resumes, scheduling interviews, and coordinating with hiring managers.

    Manage candidate communication and maintain an up-to-date recruitment database.

    Conduct initial rounds of interviews and shortlist candidates for further rounds.

    Ensure smooth onboarding and induction for new hires.

2. Employee Records Management:

    Maintain accurate employee records, including personal details, employment contracts, and performance reviews.

    Handle employee queries related to HR policies and procedures.

 Time Office and Attendance Management:

1. Attendance Monitoring:

    Oversee and maintain employee attendance records, including leaves, late arrivals, and absences.

    Monitor and manage the attendance system/software to ensure timely updates.

    Work with department heads to track and report on absenteeism and punctuality.

2. Leave Management:

    Coordinate and maintain leave records (sick leave, vacation, casual leave, etc.) and ensure compliance with company policies.

    Approve and track leave requests and communicate any discrepancies to relevant departments.


 Administrative Support:

1. General Office Administration:

    Oversee day-to-day administrative functions, including office supplies, maintenance, and vendor management.

    Coordinate meetings, events, and travel arrangements for staff as needed.

    Manage office equipment and ensure regular upkeep of office space.

2. Documentation & Reporting:

    Maintain and update employee files, HR documents, and records in a confidential and organized manner.

    Prepare and submit HR and admin-related reports to management.

3. Employee Relations & Welfare:

    Assist in organizing employee welfare activities, team-building events, and engagement programs.

    Handle employee grievances or issues and liaise with relevant departments to resolve matters.

Qualifications:

 Bachelor’s degree in Human Resources, Business Administration, or a related field.

 Proven experience in HR and administration (2-3 years preferred).

 Familiarity with HR software, attendance management tools, and general office management.

 Knowledge of statutory compliance regulations (PF, ESI, labor laws).

 Strong organizational and communication skills.

 Attention to detail and ability to multitask effectively.

Skills:

 HR management software (Cosec, Saral Pay pack)

 MS Office Suite (Excel, Word, PowerPoint).

 Time & attendance systems 

 Problem-solving and conflict resolution skills.

 Strong interpersonal and relationship-building abilities.
